Position Summary:

The Executive Assistant provides high-capacity support to the Chief Operating Officer (COO) in advancing Johnson Development Associates’ strategic goals and day-to-day operations. This role requires exceptional organizational skills, initiative, and the ability to balance multiple responsibilities in a fast-paced environment. The ideal candidate is detail-oriented, proactive, tech-savvy, and capable of handling high-level communications, event planning, and minor legal/paralegal tasks with discretion and professionalism.

Position Responsibilities – Essential Functions:

Executive Support & Operational Excellence

  • Provide comprehensive support to the COO, managing calendars, meetings, travel, and expense reports efficiently.
  • Draft and manage agendas, presentations, and other materials to help take tasks off the team’s plate.
  • Maintain high standards of confidentiality and discretion, especially in sensitive matters.
  • Independently create value through initiative and responsiveness

Event Planning & Collaboration

  • Assist in planning and executing company events with attention to detail and creativity.
  • Collaborate effectively across teams and with external partners to facilitate smooth operations and clear communication.
  • Serve as a professional, approachable, and positive point of contact in all interactions.

Technology & Process Optimization

  • ​Demonstrate interest and aptitude in leveraging technology to improve workflows, communications, and efficiency.
  • Support the COO in implementing tools or processes that enhance productivity across the organization.

Legal & Paralegal Support

  • Assist with legal-related administrative tasks, including signature collection and minor paralegal responsibilities, ensuring accuracy and compliance.
  • Coordinate with legal and other internal teams to streamline processes as needed.

Communication & Presentation Support

  • ​Write, edit, and format high-quality documents, presentations, and correspondence.
  • Ensure messaging is clear, professional, and aligned with the company's priorities.
  • Help distill complex information into concise and actionable formats for leadership and stakeholders.

Required Education and Experience:

  • Bachelor’s degree or equivalent professional experience preferred.
  • 5–7+ years supporting senior executives in a fast-paced, high-integrity environment.
  • Strong written and verbal communication skills; able to create presentations and agendas with clarity and professionalism.
  • Highly organized, detail-oriented, and able to manage multiple priorities independently.
  • Technologically fluent and comfortable implementing digital tools to improve business processes.
  • Demonstrated ability to handle confidential information with discretion.
  • Interest in events, business operations, and process improvement.
  • Emotionally intelligent, responsive, and mission-focused.
