Position Summary: 

The Administrative Assistant plays a crucial role in ensuring the smooth functioning of our operations. The Administrative Assistant is responsible for providing the team with comprehensive support, to include the sharing of front desk responsibilities, handling correspondence, and running errands.  

Position Responsibilities - Essential Functions:

  • Serves as primary back-up for Receptionist.  
  • Greets and welcomes clients, visitors, and guests. 
  • Assists with sign-in procedures.  
  • Answers the central phone system. 
  • Screens and directs calls. 
  • Documents and distributes messages. 
  • Receives mail, packages, and courier deliveries and distributes accordingly. 
  • Assists with the organization, filing, and distribution of correspondence.  
  • Uses discretion and professionalism when handling sensitive and confidential information.  
  • Runs errands such as picking up, dropping off mail, and delivering packages. 
  • Performs varied tasks as assigned outside of the office. 
  • Supports the coordination and execution of special events.  
  • Assists with special projects or initiatives. 
  • Collaborates with other team members to facilitate project progress.  

Required Education and Experience: 

  • Valid driver’s license and reliable transportation. 
  • Demonstrated experience performing related tasks and roles. 
  • Excellent organizational and time-management skills.  
  • Exceptional communication and interpersonal skills. 
  • Strong attention to detail and problem-solving skills.  
  • Proficient in Microsoft office software (Outlook, Word, Excel, PowerPoint, etc.) 
  • Ability to work effectively in a fast-paced, dynamic environment and manage multiple priorities simultaneously. 
  • Discretion and ability to maintain confidentiality.
